EVENT ORGANISATION
We can offer our clients a management service relating to national and international events, including conferences, inaugurations, presentations etc., working together with a team of professionals who will oversee the co-ordination of the various aspects of the event from project planning to the carrying out of the event itself.
Such an initiative involves the effective communication of the vision from the client as well as the required content to be delivered. The successful outcome of the organization of an event remains always core to our attention and constitutes the ultimate aim of the project.
Initial planning of the event and project development
The starting point is the idea of the client from which is derived the organizational project of the event, the general planning and the practicalities of the eventual particular requests/proposition.
Location of the event
After having carried out thorough research of the eventual locations where the event could take place, an on-the-spot inspection will take place together with the management of the said premises. The final decision will rest upon the ability to satisfy the criteria put forward by the client. Our organization will provide for the room to be used:
- floral decoration;
- table equipment for the speaker and conference secretary;
- work-shop tools, info point, display corners (products and posters);
- tasting tables suitable for the promotion of food products;
Besides the equipping of the room, we also provide a catering and photographic service as well as the videoing of the event.
Promotional campaign and marketing of the event
Thanks to our graphics team, we are able to plan a Marketing and Communication strategic perfectly suited to meetings and events, providing solutions which range from the realization of a media publicity campaign to the direct distribution of advertising materials:
- defining and realization of coordinated images of the event;
- planning of the means and acquisition of media advertising space, television, radio;
- hoardings, posters, leaflets, catalogues;
- headed paper, business cards, invitations, postcards;
- personalised items.
Secreterial Headquartersa
We offer a service of secretarial headquarters with permanent forwarding address at our offices from the moment of agreement to the end of the follow-up of the operational management of the event. We oversee in particular:
- preparation and delivery of publications;
- reservation and registration service relating to the event;
- holding of correspondence (in Italian and/or in a foreign language) and release of information to participants and speakers of a congress;
- hotel booking;
- ticket management;
- supervision of the spending plan of the entire event with real time updates.
Translation and Interpreting Service
Our agency has developed over the years a specialist interpreting service which allows us to offer with competency and efficiency, linguistic support best suited to the event. In particular, we oversee:
- translation of all informative materials;
- correspondence and emailing in the desired language;
- simultaneous, consecutive, “chuchotage” and negotiation interpreting;
- accompanying foreign visitors and guides in the desired language;
- audio/video cassette transcription from Italian or other languages
Hostess and Steward Service
We have at our disposal a team of capable and dynamic hostesses and stewards, also multi-lingual, whether for use in the meeting rooms, the reception area or for the secretarial aspect of an event.
Provision of facilities
We oversee the provision of the rooms or areas designated for the meeting with audiovisual and electronic equipment and facilities. We provide videoprojectors, videorecorders, audio amplifiers, audio recorders, slides, luminous boards for projectors, radio microphones etc.
We provide for the service of simultaneous translation all the necessary equipment from the soundproof cabins to the transmission and reception systems ISO 9000.
